Please read the following user charter and accept it at the bottom of the page, if you did not accept it already.
“weShare” is the name of a specific SharePoint collaborative platform. weShare will allow You to exchange information, to work in a collaborative way (only for professional activities) with Users within Safran Group and external Users.
This Charter shall enter into force on April 27th, 2019.
The following usage guidelines must be followed and apply to all weShare sites.
In this Charter, the following terms starting with a capital letter will have the following meaning:
- Confidential Information: any information or data of any kind whatsoever (technical, commercial, industrial, financial or other), disclosed by the disclosing User to the receiving User in connection with the purpose of the weShare site in any way whatsoever and on any medium whatsoever, without any need to specify or mark such information or data as confidential.
- The term “Confidential Information” also includes, but is not limited to, samples, technical specifications, plans, designs, software, and any memoranda, analyses, studies or other documents prepared by the receiving User on the basis of the disclosing User’s Confidential Information.
- External Contractor: legal entity which has signed an agreement with a Safran Group Company.
- External User: designates any physical person, whatever their status (employee, temporary worker), who is working for an External Contractor.
- An External User can be designated as “Member” or “Visitor” by an Internal User in his weShare site(s).
- Internal User: designates any physical person, whatever their status (employee, temporary worker), who is working for a Safran Group Company.
- An Internal User can be “Owner”, “Member” or “Visitor”.
- Member: designates a User who can read and/or modify a site (including documents and permissions).
- Owner: designates an Internal User who has full rights on his site: read, modify and delete. The Owner can grant Users full control permission on his site.
- Safran Group Company: designates Safran and/or any Safran Subsidiary.
- Safran Subsidiary: designates any company in which Safran directly or indirectly holds at least twenty percent (20%) of the share capital and/or voting rights.
- User(s) or You: designates External Users and Internal Users.
- Visitor: designates a User who can read a site.
By using weShare, all Users agree to comply with this Charter.
You agree to use the platform weShare exclusively for your professional needs. You are responsible for the content You publish and the actions You take. This includes sending, downloading, modifying, and deleting content. Anonymous content is not allowed. Any contribution must be made with respect for:
- people, ideas,
- terms and conditions of each agreement between Safran Group Company(ies) and External contractors,
- regulations and standards in force (including in particular intellectual property, personal data protection and export control rules).
When using weShare, You are to refrain from activities that are illegal, undermine public order, or infringe upon the rights of Safran Group Companies or third parties. This includes transmitting, publishing, posting or disseminating data or content of this nature. Furthermore, You agree not to disseminate or pass on advertising messages.
You are responsible of your use of weShare. Consequently, neither a Safran Group Company is liable for the use (including the content published) made by the Users.
This Charter can be updated. You recognize that your use of weShare will comply with the Charter updated. Then, You have to acknowledge the Charter updated.
The commitments of the provider on service are:
- Timetable range of service: 8 am to 7 pm (French hours) from Monday to Friday (excluding French holiday),
- Application availability rate: 99% (note that it does not correspond to an end to end availability of commitment to the User).
Internal User can obtain its login and password from its Safran Group Company.
External User can obtain its login and password from an Internal User. Internal User will give an access to an External User, in accordance with a need to know rights, applicable agreement (between a Safran Group Company and External contractor) and applicable regulations.
Login and password are strictly confidential and personal. Then, You are not allowed to divulge them to a third party. And, You are responsible for the confidentiality of your login and password.
The aim of everyone's contributions is to add value to the community: discussions must be professional. Users guarantee the reliability of the information they share, which should as far as possible reflect their expertise and/or knowledge and be appropriate for the subject. Broadly speaking, all contributions shall uphold Safran’s values and adhere to Safran Group Ethical Guidelines and the Use and Security Charter for its Information and Communication Technologies.
You are requested to send an email to the Owner of the site concerned when You can consider that the contribution is obviously illegal. Your notification must be filled with all the following criteria:
- date;
- if it is a :
- physical person: first name, last name, job, address, nationality, date and place of birth;
- legal entity: corporation, company name, registered office and its entity representative;
- last name and address of the recipient or, if it is a legal entity : its company name and registered office;
- description of the illegal contribution and its place;
- the reasons why it is has to been deleted (including the legislation and the factual justification) ;
- the copy of your email sent to the author of the illegal contribution or to the site Owner of the illegal contribution asking their interruption, withdrawal or modification or proof that the author or the site Owner could not be contacted.
You are responsible for protecting and safeguarding Confidential Information. Do not violate any non-disclosure agreement, and you have to adhere to products and services integrity program (PSIP) and export control rules.
If you are unsure of the sensitivity of certain information, refer to the Safran's information protection procedures as well as your manager (or site owner). You are hereby reminded that it is your responsibility to check whether any of the information is restricted (in particular by agreement), including between Safran Group Companies, before disseminating it. No Defense information may be published and shared on the collaborative network. Before publishing any information, it is important to gauge its sensitivity, taking into account the target audience.
Safran is responsible for the data processing intended to make available a collaborative service between Safran Group Companies and their business partners. This processing is based on the consent of the individual, the employment contract and the legitimate interest of Safran to provide a platform to be in contact with its business partners.
Collection:
The collected data, hosted by Safran in a directory service, is the first name, surname, email address, company, access log, login, site access rights of Users.
The provision of this data is mandatory to access the service.
Recipients:
- All members of the weShare service have access to first names, surnames and email addresses. Only the administrator has access to all data.
- This data is accessible by the worldwide subsidiaries of Safran and protected by Safran Binding Corporate Rules.
Retention period:
- Validity period of an account: 1 year then expiration (possible reactivation by Safran)
- Retention period of expired account: 2 years then disabled
- Retention period of disabled accounts: 1 year then deletion
- Moreover, a User’s account can be deleted upon request (see below). Access logs are kept one year.
- You may delete your contributions and change your profile at any time by asking your Safran’s contact or the helpdesk.
- For traceability purposes, any name in relation with documents (modification, validation, etc.) are kept for the duration of the project/service and the legal directive (ex: the legal directive can be: life time of an engine is 50 years)
Contribution:
- Do not make improper use of the personal data. You will have access to notably unlawful or illegitimate disclosure.
- Collect and use only the strictly necessary data to perform the purpose of the processing and keep this data updated
- Contributions are never anonymous; their authors are always named. However, statistics on community activity are anonymous.
- The contributions shall be strictly professional in nature and shall not bear any relevance to personal subjects such as politics, religion or personal morals. They shall not contain anything offensive or slanderous in nature. Your contributions shall not violate the right to privacy; it is therefore prohibited to disclose pictures or personal contact details of Users without their consent.
- The only purpose of "like"-type comments is to support the contribution of the collaborative network member.
Creation of new processings:
- In case, you need to create a new processing to conduct your missions, please contact your Data Protection Officer. The processing needs to be analyzed and added to the records of processing activities.
You have rights of access, rectification, erasure, restriction, and data portability on your personal data and their processing. You also have the right to object. To exercise your rights, you can write to the Data Protection Officer at “safran.dpo@safrangroup.com”. You can also lodge a complaint with the French Data protection authority (www.cnil.fr).
Do not make improper use of a registered trademark or copyright, which may constitute a violation and put your company at risk of prosecution. Any information generated or produced in weShare is the property of the company, whether it is protected or able to be protected by intellectual property rights.
In particular, each User will take care not to incorporate or use in any way whatsoever any program or other element (picture…) for which the intellectual property rights belong to third parties without having ensured in advance that all the necessary authorizations have been obtained.
When Users leave the company, the latter does not delete their names, photos, contributions, and other details or content. They may however remove this data if they desire or are invited to do so by the site Owner or another party. If Users delete their contributions, all associated content, including likes and replies, is automatically deleted.
All site Owners are advised to strongly respect the Export Control rules. For any information concerning this matter, please get in touch with your Export Control Team.
weShare is a collaborative platform. weShare shall not be used for file transfer.
weShare may not be used either as a tool to archive or to back-up your data. The purpose of this application is to enhance engagements and collaboration within teams, entities and projects.
Please contact your local helpdesk or support team if you do need to transfer files, archive or back-up your data.
The use of folders in weShare is not prohibited. However, it unfortunately cannot be used the same manner as it is used in a standard filesystem.
weShare is designed and recommends the use of metadata to create structure in libraries. Users are advised to use folders (under Owner control) if you need to have separate secured spaces within libraries to dispatch documents.
In case you decide to use folders, we recommend:
- Folders depth: 2 to 3 maximum
- No more than 5 folders in each sub-folder
- Folders at the root: 5 maximum
The complete URL path of any SharePoint item or document must not exceed 256 characters (including http). There are some issues You can run into when the URL path to your document or folder is longer than 256 characters.
While naming documents or files, avoid long names and spaces between words:
- Replace spaces with underscores, “_”
- Remove spaces with “CamelCase” ("CamelCase" is the practice of writing compound words or phrases such that each word or abbreviation begins with a capital letter)
- Users can also use the title metadata to have “friendly names” suited to weShare
Having more than 5000 items in a library may break functionalities within your site. Run a clean-up within your site to eliminate items, files or documents that You no longer need.
Owners have to pay attention to the number of versions being kept in the history of each document. The number of versions stored per document must not exceed 30, major and minor included.
Only employees of Safran Group Companies are allowed to be an Owner of a site.
In order to keep the space clean and tidy, Owners are requested to remove any Users with Owners rights who do not need them. It is recommended to have 2-3 Owners in a site.
A knowledge transfer must be performed to a new site Owner when a site Owner leaves.
Owners have to clean-up the site by checking items and documents, as well as, workspace, to ensure that irrelevant elements are archived or deleted.
When sites come to the end of the lifecycle, Owners are requested to archive their sites. Please contact your help desk in order to carry-out the process.
Inactivity can be detected by the support team. Then Owners will be contacted in order to ensure that only the sites in-use stay accessible.
Use the homepage of the site to highlight and give quick access to your key elements.
All site Owners are recommended to create separate libraries per topic. Users will find it easier to locate information and it is also easier for site Owners to manage permissions.
This function allows creation of small spaces with specific permissions. However, we strongly recommend keeping the disinheritance of permissions at the library level to avoid an organizational confusion.
Private sites are designed to share Confidential and restricted information. Information shared in these sites may not be destined to all Users. Therefore, Owners are advised to maintain the confidentiality while granting permissions and should not use the user group “Everyone”. Owners are required to grant permissions based on a need to know basis and the aim of collaborative work.
This Charter is governed by French law.
All disputes arising out or in connection with the formation, validity, interpretation, performance, or termination or their follow up, of any of the contractual documents shall be settled under the competent Courts of Paris, France.
